3. Client Responsibilities

Clients engaging Crown Events services agree to provide accurate and complete information regarding their event requirements, objectives, and expectations. Clients must respond to requests for information and approvals in a timely manner to ensure proper event planning and execution. Any delays in client response may impact project timelines and deliverables. Clients are responsible for obtaining all necessary permissions, licenses, and permits required for their events. Clients must inform Crown Events of any special requirements, restrictions, or considerations that may affect event planning or execution.

4. Booking and Confirmation

Event bookings are confirmed upon execution of a service agreement and receipt of any required initial deposits. Availability of services is subject to confirmation and may change without notice. Crown Events will make every effort to accommodate client preferences regarding dates, venues, and vendors, but cannot guarantee availability of specific resources. Once confirmed, clients will receive written confirmation of all booking details including dates, venues, and service scope. Any changes to confirmed bookings must be requested in writing and are subject to approval and availability.

5. Cancellation and Modifications

Cancellation and modification policies vary depending on the nature and timing of the event. Clients must provide written notice of any desired cancellations or significant modifications to confirmed bookings. Cancellation fees may apply based on the timing of cancellation and costs already incurred on behalf of the client. Crown Events reserves the right to cancel or modify services in cases of force majeure, including but not limited to natural disasters, government restrictions, venue closures, or other circumstances beyond our reasonable control. In such cases, we will work with clients to reschedule or provide alternative solutions where possible.

6. Intellectual Property

All content, designs, concepts, and materials created by Crown Events remain the intellectual property of Crown Events unless otherwise specified in writing. Clients may not reproduce, distribute, or use Crown Events proprietary materials without explicit written permission. Event concepts and designs created specifically for client events may be used by clients for their intended event purpose only. Crown Events retains the right to photograph events and use images for marketing and promotional purposes unless clients specifically opt out in writing prior to the event.

7. Liability Limitations

Crown Events will exercise reasonable care and professional expertise in planning and executing events. However, we cannot be held liable for circumstances beyond our reasonable control, including vendor failures, venue issues, weather conditions, or actions of third parties. Clients are encouraged to obtain appropriate event insurance to cover potential risks. Crown Events liability is limited to the total fees paid by the client for services rendered. We are not liable for any indirect, consequential, or punitive damages arising from event services or cancellations.

8. Privacy and Data Protection

Crown Events respects client privacy and handles personal information in accordance with Australian privacy laws and our Privacy Policy. Information collected during the service engagement will be used solely for the purpose of planning and executing client events and communicating about our services. We do not sell or share client information with third parties except as necessary to fulfill service obligations. Clients have the right to access, correct, or request deletion of their personal information in accordance with applicable privacy regulations.

9. Third-Party Vendors

Crown Events works with a network of trusted third-party vendors including caterers, venues, entertainers, and other service providers. While we carefully select and coordinate with these vendors, each vendor operates as an independent business entity. Clients may be required to enter into separate agreements with certain vendors. Crown Events is not liable for the actions, omissions, or failures of third-party vendors, though we will make reasonable efforts to resolve any issues that arise. Vendor selection and management will be conducted in accordance with client preferences and budget parameters.

10. Dispute Resolution

Any disputes arising from services provided by Crown Events should first be addressed through direct communication with our management team. We are committed to resolving concerns promptly and professionally. If disputes cannot be resolved through direct communication, parties agree to attempt mediation before pursuing legal action. These terms are governed by the laws of Australia, and any legal proceedings must be conducted in the appropriate Australian jurisdiction. Both parties agree to act in good faith to resolve disputes efficiently and amicably.
